As VIA’s Talent Acquisition and Onboarding Specialist, you will join the People and Operations (POps) team, learning from and working with experts in the field of TA and onboarding. In this role, you will:
- Own the interview lifecycle: Coordinate and schedule a high volume of interviews across multiple time zones, ensuring a smooth process for candidates and clear briefings for our hiring teams
- Bridge the gap: Act as the primary point of contact for candidates transitioning into new hires, managing the handoff from the final interview to their first day
- Launch the onboarding journey: Facilitate all onboarding logistics, including scheduling orientation sessions, coordinating with IT for equipment delivery, and ensuring all "Day 1" documentation is completed
- Master the systems: Maintain data integrity within our Applicant Tracking System (ATS) and HRIS, ensuring that candidate pipelines are accurate and onboarding checklists are fulfilled
- Enhance the experience: Identify bottlenecks in the scheduling and onboarding flows, and propose creative solutions to make the process more efficient and human-centric
- Develop high-impact onboarding assets: Partner with subject matter experts to design, update, and maintain engaging onboarding materials including, digital guides, presentation decks, and checklists to ensure all VIAneer resources remain current, accessible, and visually aligned with our brand
What you will bring to this role:
- Professional foundation: 2+ years of experience in a talent coordination, HR, or people operations role, ideally within a fast-paced technology or startup environment
- Platform expertise: Proficiency in Workable or Greenhouse (or a strong desire to become a power user) to manage candidate pipelines and automate scheduling workflows
- Exceptional coordination: Proven experience managing complex schedules and logistics, you are a wizard with Google Calendar and Google Meet or Zoom
- Communication flair: The ability to communicate with warmth and professional clarity to everyone from entry-level candidates to C-suite executives
- Proactive problem solving: A "I’ve got you covered” mentality when faced with conflicting schedules, tech glitches, or shifting priorities
- Detail rigor: An almost supernatural ability to catch the small things—for example, ensuring no meeting invite is sent without a link and no new hire is left without a laptop
- Discretion: The ability to handle sensitive candidate data and internal compensation information with absolute confidentiality
