The Role
We're looking for a detail-oriented Interview Scheduling Coordinator to join our People Operations team. This role is primarily focused on coordinating and scheduling interviews across multiple hiring managers and interview panels, with secondary responsibilities supporting broader HR operations. This is ideal for someone who thrives on calendar management, candidate communication, and keeping recruiting processes running smoothly.
What You'll Do (Primary Focus)
• Schedule and coordinate interviews across multiple hiring managers, interviewers, and candidates
• Manage complex interview logistics including multi-panel, onsite, and virtual interviews
• Serve as the primary point of contact for candidates throughout the interview scheduling process
• Maintain and update candidate records in our Applicant Tracking System (Greenhouse)
• Coordinate onboarding logistics and new hire communications
• Partner closely with Recruiting and Hiring Managers to ensure seamless interview workflows
HR Ops Support (Secondary)
• Support employee lifecycle administration and HR documentation
• Maintain data accuracy in HRIS systems
• Assist with compliance tasks (I-9s, background checks)
• Support payroll and benefits coordination
What We're Looking For (Required)
• 2+ years of experience in an HR Coordinator, Recruiting Coordinator, or Interview Scheduling role
• Hands-on experience with Applicant Tracking Systems (Greenhouse strongly preferred; Lever, iCIMS, Workday, or similar ATS also accepted)
• Proven experience scheduling interviews and managing complex calendars
• Must be located in Austin, TX or the surrounding Austin metro area (this is a hybrid role—not remote)
• Strong organizational skills and attention to detail
• Excellent written and verbal communication skills
Nice to Have
• Greenhouse ATS certification or advanced Greenhouse experience
• SHRM-CP or PHR certification
• Experience in a fast-paced, high-growth environment
• Familiarity with HRIS platforms (Workday, ADP, Paylocity)
Contract Details
• 1099 Independent Contractor
• 3-month rolling contract (extensions possible)
• Austin-based, hybrid role (must be local to Austin, TX)
