About the Role
As a Recruiting Coordinator, you will play a critical role in supporting the Talent Acquisition team by coordinating interview processes, managing scheduling logistics, and ensuring a smooth and efficient candidate experience across multiple business entities.
This role focuses on the operational side of recruiting, with an emphasis on interview coordination, stakeholder communication, ATS management, and Talent Acquisition project support. You will work closely with recruiters, hiring managers, and HR partners to ensure that interviews are scheduled efficiently, recruiting activities are well organized, and hiring processes run smoothly across multiple teams and business units.
Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining a high standard of candidate and stakeholder experience.
Key Responsibilities
- Coordinate and schedule interviews across multiple business entities, departments, and hiring teams while managing complex calendars and time zones.
- Serve as the primary point of contact for interview logistics, ensuring candidates, recruiters, and hiring managers receive clear and timely communication.
- Manage interview scheduling through ATS platforms, calendar integrations, and collaboration tools (e.g., Microsoft Outlook, Teams).
- Prepare interview materials, interview panels, and candidate documentation prior to interviews.
- Ensure a seamless candidate experience by providing interview confirmations, instructions, and follow-up communications.
- Maintain accurate and up-to-date recruiting data within the ATS and internal recruiting systems.
- Support the Talent Acquisition team with operational tasks including job postings, candidate pipeline updates, and recruiting workflow coordination.
- Coordinate interview feedback collection and ensure timely documentation within the ATS.
- Track and manage recruiting activities to support recruiter productivity and hiring timelines.
- Support cross-entity recruiting coordination, ensuring alignment across multiple business units and hiring leaders.
- Assist with Talent Acquisition projects including recruiting process improvements, ATS optimizations, reporting preparation, and documentation updates.
- Partner with recruiters and HR teams to ensure recruiting processes are consistent, efficient, and compliant with company policies.
- Help maintain recruiting SOPs, interview scheduling guidelines, and operational documentation.
- Identify opportunities to improve recruiting workflows, scheduling processes, and coordination efficiency.
- Provide administrative and operational support for Talent Acquisition initiatives and hiring campaigns.
- Ensure compliance with company policies, data protection standards, and recruiting best practices.
- Other duties as assigned.
- 1–3 years of experience in recruiting coordination, HR operations, or administrative support within a Talent Acquisition or HR environment.
- Experience scheduling interviews and coordinating recruiting activities in fast-paced environments.
- Experience supporting recruiting teams across multiple departments, business units, or locations.
- Hands-on experience using Workable or other Applicant Tracking Systems (ATS).
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Proficiency with Microsoft Office 365, Outlook calendar management, and Microsoft Teams.
- Excellent communication and interpersonal skills with the ability to interact with candidates, hiring managers, and recruiters.
- High attention to detail and strong problem-solving abilities.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Comfort working in a fast-paced, high-growth environment.
- On-site availability five days per week in Fort Lauderdale (Las Olas).

- Ability to support operational improvements and contribute to scalable recruiting processes.
