Onboarding Journey
Reimagine and own the onboarding experience to provide a true WellRX welcome for every new employee.
Coordinate and facilitate the onboarding process for new hires, including preparing new hire packets, coordinating IT setup, conducting HR orientations, and ensuring a smooth transition into the company. Support offboarding logistics as needed.
Maintain accurate employee data within our HR systems for new hires.
Own background checks and employment verifications through First Advantage, including initiating requests, tracking progress, resolving issues, and ensuring timely completion prior to start dates.
Track and verify all onboarding requirements and pre-employment clearances, ensuring documentation is accurate, complete, and audit-ready.
Compliance Support: Assist with ensuring HR processes and documentation comply with federal, state, and local employment laws and regulations.
Program Support: Support various HR initiatives and programs, such as employee engagement activities, performance management cycles, and benefits administration.
Documentation: Assist in developing, organizing, and maintaining HR documents, policies, templates, and employee handbooks.
Recruiting Support
Full-Cycle Coordination: Support the end-to-end interview scheduling process, including coordinating complex calendars, sending invitations, and managing logistics for candidate interviews (phone, video, in-person).
Candidate Experience: Ensure a positive and seamless candidate experience from initial contact through offer acceptance, providing timely communication and acting as a primary point of contact for candidate inquiries.
ATS Management: Ensure candidate communication and post-offer acceptance process is documented.
Job Posting & Sourcing: Assist in drafting, posting, and refreshing job requisitions across various job boards, social media platforms, and university career sites.
Reporting: Generate regular reports on recruiting metrics (e.g., time-to-fill, source of hire, candidate pipeline status) to help optimize our talent acquisition strategies.
Offer Process Support: Support offer-stage coordination including background check initiation through First Advantage, and new hire paperwork, ensuring accuracy and timely delivery.
Employee Referral Tracking: Support and maintain the employee referral process by logging referrals, tracking status through the hiring process, ensuring proper attribution, and partnering with the recruiting team to support referral reporting and payouts (if applicable).
Requirementstest
2–4+ years of combined experience in Human Resources Coordination, Recruiting Coordination, HR Operations, or a similar generalist role. Built and/or supported new employee onboarding programs. Proven experience owning interview scheduling and candidate experience. Proficiency with Applicant Tracking Systems (ATS) and HR Information Systems (HRIS). Experience managing background checks and verifications; experience with First Advantage is a plus. Exceptional organizational skills and meticulous attention to detail. Strong verbal and written communication skills, with a professional and friendly demeanor. Ability to manage multiple priorities in a fast-paced, dynamic environment. High level of discretion and ability to handle confidential information with integrity. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Proactive, self-motivated, and a quick learner. Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent practical experience.
Bonus Points If You Have Experience working in a high-growth startup environment. Experience in the direct-to-consumer (D2C) or healthcare/telemedicine industry. Experience supporting remote and hybrid teams.
