The HR Operations Specialist manages daily administrative, compliance, and technical functions of the Human Resources department, ensuring smooth and compliant HR operations across the employee lifecycle. This role supports HRIS management, onboarding and offboarding, benefits and payroll administration, policy implementation, and employee inquiries.
The ideal candidate is organized, responsive, and detail-oriented, with strong communication skills and the ability to handle sensitive information with discretion. This individual thrives in a fast-paced environment and is comfortable supporting multiple HR processes simultaneously.
This position is based in office from Mondays-Thursdays, and remote on Fridays.
Key Responsibilities
HR Administration & Employee Lifecycle
- Manage the HR inbox, respond to employee inquiries, and route requests to the appropriate HR team members
- Support onboarding, offboarding, and pre-boarding processes
- Maintain accurate employee records, including status changes, life events, and seating adjustments
- Manage leave programs, worker’s compensation cases, and accommodation requests
- Process HR administrative requests such as employment verifications, business cards, and other documentation
Benefits & Payroll Administration
- Administer benefits enrollment, changes, terminations, and COBRA management
- Support open enrollment processes and benefits renewals
- Process benefit invoices (medical, dental, vision, commuter, mutual insurance) and reconcile with budgets
- Assist with payroll inputs, merit increases, and mid-year/year-end salary adjustments
- Track benefits-related rebates, expenses, and reporting, including Form 5500 filings
Compliance, Reporting & HR Systems
- Maintain HRIS and dashboards with up-to-date information on employee data, org charts, and HR metrics
- Support compliance reporting, including EEOC, BLS, US Census, OSHA, and IRS filings
- Prepare periodic HR reports, including PTO close reports and termination lists
- Assist with policy revisions, employee handbook updates, and acknowledgment tracking
HR Communications & Events
- Draft and distribute HR communications and reminders
- Support recognition programs, anniversaries, and company events
- Assist with HR and town hall meetings, note-taking, and follow-ups
Team Support & Special Projects
- Participate in HR team and global meetings, supporting notes and follow-ups
- Provide reception coverage and general administrative support as needed
- Support special HR projects, product launches, and end-of-year processes
Education/Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field
- 3+ years of experience in HR operations, HR administration, or HR generalist support
- Proven experience with benefits administration, HRIS, payroll support, and employee lifecycle management
Required Skills
- Knowledge of HR policies, employment laws, and compliance requirements
- Experience with benefits administration, including enrollment, changes, and COBRA management
- Proficiency in Microsoft Excel (VLOOKUP, XLOOKUP, pivot tables)
- Exceptional organizational and time-management skills, with high attention to detail
- Strong communication and interpersonal skills
- Ability to handle confidential and sensitive information with discretion
- Self-starter with the ability to manage multiple priorities in a dynamic environment
- Experience with HRIS, ADP strongly preferred
