Position Overview
The Human Resources Coordinator will support the Director, Human Resources (“Director”) with the administration of the Human Resources function. This role will have administrative support responsibilities across multiple dimensions of the Human Resources practice including performance management, benefits administration, employee engagement and HR reporting. The Human Resources Coordinator will also provide support to all employees regarding various HR related inquiries which require strict adherence to confidentiality policies. The Human Resources Coordinator will also work to ensure timely and efficient execution of various Human Resources projects.
Primary Responsibilities
- Performance Management: Ensures timely release of all performance reviews in the HRIS system. Serves as the administrative coordinator of the performance management process, ensuring timeliness and proper workflow, escalating to the Director, Human Resources as needed. Upon review completion, downloads and files to employee personnel file for recordkeeping.
- Benefits Administration: Supports the Director with administration of benefit enrollments for new hires, ensuring proper plan alignment. Downloads and prepares initial draft of benefits billing statements for review by Director. Supports Director with executing administrative components of Qualified Life Event plan changes, new hires and terminations in the benefits administration system. Works with outside Broker to compile initial draft of annual Benefits Information Guide and keeps SIPC Intranet site up to date with current plan information and links to carrier. Supports employees with benefit questions and escalates to Director as needed. Supports with any reporting requirements as needed for RxDC, Worker’s Compensation Audit, Total Rewards Statements or other projects as assigned
- Employee Engagement: Supports Employee Engagement Survey reporting. Keeps up-to-date record of action planning targets and projects and ensures timely completion of milestones. Participates on the Employee Engagement Committee in an administrative capacity, producing minutes and follow up action items following meetings to keep committee initiatives on track with timelines. Supports planning and logistics of employee engagement events and Welcome Wednesday meetings.
- Administration: Supports the Director in executing onboarding and offboarding processes, ensuring that administrative components are completed timely and error-free. Handles confidential employee information with strict confidentiality and ensures information security of all personnel records. Maintains employee file system, ensuring proper filing process for all information, and upkeep of active, past and retiree employment files. Assists the receptionist with supplies orders and acts as a backup for supplies when receptionist is out of office, receives and processes maintenance requests and sends notifications to employees regarding vendor work within the space. Assists the Director with procuring training and other vendor contracts, training room setup, calendar invites, and other administrative duties associated with employee training initiatives. Serves as the point of contact for Employee Education Assistance Program (“EAP”) applications and ensures complete application packet is submitted to the Director for review. Coordinates with EAP Committee and Finance Department to process approved course registrations through to completion. Provides coordination support for annual corporate insurance renewal process and tracks each renewal to completion.
- Reporting: Assembles drafts of regular and unique reporting needs for Human Resources including Open Enrollment Reports, time off usage, performance review status, benefits billing, employee census, etc. Ensure employee personnel files are kept current and contain appropriate documentation and are kept properly secure within the system. Conducts administrative components of contract review, signature and filings for all Human Resources related projects.
- Talent Acquisition: Ensures that open positions are kept up to date on SIPC Intranet and website, supports scheduling and logistics of in-office and virtual interviews for various hiring projects. May support Director with candidate sourcing, resume review and other recruiting tasks to ensure efficient process and deliver exceptional experience to all candidates.
- Other: Fulfills other duties as assigned.
Required Knowledge and Skills
- Strong knowledge of Microsoft suite of products, with focus on Teams, Excel, Word, Outlook and Power Point
- Excellent organization, preparation, and keen attention to detail as proven in previous roles with ability to produce clean error-free work with appropriate supervision
- Ability to learn and apply SIPC policies and procedures
- High levels of stakeholder diplomacy and ability to properly handle confidential information
- Effective relationship management tactics and ability to adjust based on changing stakeholders and priorities
- Excellent written and verbal communication skills and collaboration skills
- Proven proficiency using scheduling tools such as Webex, Zoom and Microsoft Teams to schedule and edit meeting invites for internal and external stakeholders
Education and Experience
- High School Diploma or GED (required)
- Bachelor’s degree in human resources management, Business or related field (preferred)
- 1-3 years of combined experience working in an administrative support, Human Resources or similar role
