Job Title: HR Assistant
Location: Encino, CA | Onsite
Employment Type: Contract | 3+ months
Schedule: 7:30 AM – 3:30 PM (2-day workweek, 7.5-hour workdays; schedule is anticipated to be Tuesdays and Thursdays)
Compensation: $29 per hour
Job Summary:
Under immediate supervision, this role provides clerical and administrative support to the Human Resources (HR) team by performing tasks such as answering phones, filing, data entry, applicant screening, and responding to routine questions on HR policies and procedures.
Key Responsibilities:
- Assist HR management and staff with administrative duties across various HR functions; may also support general office or facility management activities.
- Enter and maintain accurate employee information in the company HR information system (HRIS), including new hires, terminations, and employment changes.
- Respond to primarily routine inquiries regarding HR policies and procedures.
- Coordinate the performance review process, ensuring timely follow-up with management as required.
- File and maintain human resources records, including payroll documents, I-9 forms, new hire paperwork, termination files, and other related documents according to established company standards; may coordinate off-site storage.
- Assist in the applicant screening process by conducting reference checks, employment background checks, and applicant testing, as well as coordinating and scheduling meetings, interviews, and offer letters.
- Process new hire, termination, and related paperwork such as applicant tracking, job postings, and EEO data.
- Coordinate attendance and paid time off (PTO) tracking for the assigned area, including reviewing electronic timesheets for accuracy and ensuring timely follow-up with employees and management.
- May order office supplies and maintain supply stock for the department.
- Coordinate termination and other processes with other departments, including notifying IT of terminations or status changes.
- May assist with preparing ad hoc reports or supporting special projects or events such as audits, training sessions, or employee appreciation activities.
- Follow work plans, established timelines, and predefined goals for assigned work, and meet commitments on deadlines.
- Develop strong customer focus and high service-level relationships with clients.
- Perform work thoroughly in a cost-efficient manner and at a high productivity level while utilizing company resources effectively.
- Comply with all corporate policies and procedures. Take all reasonable steps to safeguard company assets against waste, loss, unauthorized use, or misappropriation. Report any breakdowns in controls to a supervisor or manager.
Qualifications
Required:
- Bachelor’s degree (4 years) or the equivalent education and/or experience.
- Minimum 1–2 years of HR experience.
- Proficiency in Microsoft Excel, including working with pivot tables.
- Strong mastery in multitasking.
